1. Introduction

This Privacy Policy explains how Sharingan ("the Bot", "the Service", "we", "us") collects, uses, and protects your information when you use our Discord bot and web dashboard. We are committed to protecting your privacy and being transparent about what data we handle.

2. Information We Collect

2.1 Data from Discord

When you use the bot or sign in to the dashboard, we may collect:

  • User ID and username — to identify you across sessions and for features like leveling and moderation logs.
  • Server (Guild) ID and name — to store per-server configuration.
  • Channel and Role IDs — to configure features like welcome messages, logging, and role rewards.
  • Avatar URL — displayed in the dashboard and rank cards.

2.2 Data We Generate

  • XP and level data — tracked per user per server for the leveling system.
  • Moderation records — warnings, bans, kicks, mutes, and other actions taken by moderators.
  • Configuration data — your server's bot settings (prefix, enabled features, channel assignments, etc.).

2.3 Data We Do NOT Collect

  • We do not store message content.
  • We do not store voice or audio data.
  • We do not track your activity outside of Discord.
  • We do not sell, share, or provide your data to any third parties.

3. How We Use Your Data

We use the collected data to:

  • Provide and operate the bot's features (leveling, moderation, welcome messages, etc.).
  • Display your server list and configuration in the web dashboard.
  • Maintain moderation logs for server administrators.
  • Improve the Service and fix bugs.

4. Data Storage and Security

Your data is stored in a PostgreSQL database secured with standard industry practices including encrypted connections and access controls. We retain your data only for as long as necessary to provide the Service. Server configuration data is deleted when the bot is removed from a server.

5. Your Rights

You have the right to:

  • Access your data — view what data we store about you or your server via the dashboard.
  • Delete your data — remove all server data by removing the bot and using the "Remove Bot" option in the dashboard settings.
  • Opt out — disable specific features (like leveling) to stop data collection for that feature.

6. Third-Party Services

The Service interacts with Discord's API and is subject to Discord's Privacy Policy. When you sign in to the dashboard, we use Discord OAuth2 — we never see or store your Discord password. We may also interact with third-party APIs (YouTube, Spotify, etc.) to provide music and social feed features, but we do not share your personal data with these services.

7. Children's Privacy

The Service is not intended for children under 13. We do not knowingly collect data from children under 13. If you believe we have collected data from a child under 13, please contact us immediately.

8. Changes to This Policy

We may update this Privacy Policy at any time. We will notify users of significant changes via the support server or dashboard. Continued use of the Service after changes constitutes acceptance of the updated policy.
